CONTRACTOR WORKFLOW GUIDE
Contractor instruction records: what to capture
A useful contractor instruction record should make the operational handoff understandable without asking someone to reconstruct several inboxes, portals and message threads.
Record the exact instruction
Capture the current scope, the requester, the intended provider, the relevant property or job reference and the version issued. If the scope changes, create a new version rather than silently replacing the earlier instruction.
Separate response from completion
A contractor accepting an instruction is not the same event as attending, completing work or proving that the work was satisfactory. Record acceptance or decline as its own decision.
Define the required return
State what completion information is required before the contractor responds.
- declared action or outcome
- relevant job, asset or area references
- requested evidence-file metadata
- exceptions, limitations or follow-up needs
Preserve corrections and approval
If a return is incomplete, retain it, record the reason for rejection and request a bounded correction. The final receipt should identify the exact instruction and provider-return versions the requester accepted.

Verified Dispatch provides a controlled contractor instruction and completion-return record while preserving the distinction between a digital workflow decision and independent proof of real-world work.
